What "bridging software" means
Under HMRC's Making Tax Digital (MTD) rules, VAT-registered businesses must keep digital records and file returns through software that connects to HMRC's API — you can no longer type the figures into the HMRC website. Bridging software is the specific answer for firms whose numbers already live somewhere else: a spreadsheet, an ERP, a finance system that wasn't built to file to HMRC. It reads the finished VAT figures and submits them, acting as the compliant bridge between your records and HMRC.
The point of bridging software is that it doesn't force you to rip out the system you already use. Your VAT calculation stays where it is; the bridge carries the result.
Digital links — the chain that can't be broken
MTD requires an unbroken digital link from your source records to the figure you file. A digital link is an automated transfer — a formula, an API call, an import — as opposed to someone re-typing a number or copy-pasting it between cells. The moment a human retypes a figure, the chain is broken and the audit trail is lost. Good bridging software preserves that link end to end: the number HMRC receives is provably the number your records produced.
A UK VAT return is nine boxes. Some are entered; others are derived and must reconcile exactly — Box 3 is the sum of Box 1 and Box 2, and Box 5 is the difference between Box 3 and Box 4. If those computed boxes don't tie out, the return is internally inconsistent. Software should compute them itself, so the derived boxes always reconcile.
The VAT number check
Every submission is tied to a VAT registration number (VRN) — nine digits, where the last two are a checksum. Like an LEI, a VRN's validity can be tested with modular arithmetic (a weighted sum modulo 97), so a fat-fingered VAT number is caught before it ever reaches a submission. It's a small check that prevents an embarrassing class of error: filing against the wrong registration.
What to look for in bridging software
- It computes the derived boxes rather than trusting a pasted total, so Box 3 and Box 5 always reconcile.
- It preserves the digital link from your source records, with an audit trail of what was filed.
- It checks the VRN and the return's internal consistency before submitting.
- A person approves the filing — an automated pipeline should still stop for a named person before anything reaches HMRC.
